About Squareshot
Squareshot is a New York photography studio that has delivered more than 50,000 images for over a thousand fast-growing brands, at a 98% acceptance rate. The business runs on a steady flow of client briefs, shoots, shipments, and invoices — all of which lived in software that was starting to fail them.
The challenge
Squareshot captured client requirements and ran their internal operations on a legacy platform. The technology was outdated, the vendor offered limited support, and the software kept crashing — a poor experience for clients and a daily disruption for the team. Because it was mission-critical, they needed a replacement robust enough to run the whole operation, deployable in weeks rather than months. They chose the no-code route and brought me on as their automation consultant.
The approach
No single platform could cover both a polished client-facing app and a sophisticated internal operations system, so I architected a multi-platform no-code stack — each tool doing one job well, stitched together through integration platforms.
Bubble handled the customer-facing portal; Airtable became the internal back-end. I redesigned the database architecture with semantic relationships between entities and a unique Name-ID system that tracks projects, shipments, and invoices at the company level — no external scripts, no deduplication. Airtable Interfaces gave the team a clean internal view, with action buttons wired to Stripe, PandaDoc, and the rest.
The automation layer ran across Zapier (15+ multi-step Zaps) and Make.com (15+ scenarios), connected by webhooks — Make sent templated email through Mailgun where Zapier couldn’t, and notifications fired both by email and in-app.

The result
The core portal was built in under three weeks and went live a week later — a full replacement for the failing legacy system, handed to a team that could run it themselves.
